How to ship music to your fans

If a fan has purchased your physical album, you are responsible for shipping the item out to them. Below are the steps to download the customer details and mark the item as shipped.

Step 1: Navigate to your Orders

In your artist dashboard, navigate to Orders.

Next Click Sales

All orders that are “Submitted” are ones that are waiting on you to fulfill them.

Step 2. Download Shipping Information

Individual order shipping information can be downloaded from the action menu.

Alternatively you can filter all orders by the ‘Submitted’ status, select all, then download all of them with the ‘Export Shipping Instructions’ button.

Step 3.Enter Shipping Information

Using the Action Menu for the order, select ‘VIew Detail’, mark the order as ‘In Process’. We will automatically notify the customer that their order is in process.

Once you do, you’ll be able to enter in the shipping and tracking information as shown to the left.

Once you’ve finished entering everything, you can save this tracking information.

Once you’ve shipped the unit, simply ‘MARK AS FULFILLED’ and we will automatically send the tracking information to the customer.

You’ve been hard at work in the studio, bringing your new masterpiece to life. The sound is tight, the lyrics fire. Time to get this music out to your fans. They’ve been waiting and they want to get it now.

At vyb, we make it easy for you to send out an email blast to your fans. Below are the steps to make that happen.

Step 1. After Publishing Your Release, Launch a Campaign

Anytime you make changes to an album, you will get a popup that allows you to create a campaign.

Select ‘Create Campaign’

Alternatively, you can go to your dashboard and under the action menu select “+ Create Campaign”

Step 2. Edit Email Content

Now edit the campaign name, making it something you will remember. Only you will see this name

Next, edit the subject and message. Write something memorable and personal. The best announcements don’t just say I have something new, the tell the story of the music. Don’t be afraid to open up!

Now you can also change the banner image for your email.

Then you can scroll down and see preview of the email, including the automatic action button we insert.

Step 3. Set Audience and Timing

The default audience is ‘All’, meaning everyone in your list. If you want to run multiple customized campaigns, just repeat this process. For example, you may want to send a special message to subscribers if they have an exclusive for this release.

Finally, set the scheduled date for your campaign email to begin and press SEND! You are done

To monitor your campaign, open “Campaigns” under the Marketing Hub.

There you can see how many emails were sent how many delivered, etc.

Tips for your Email Campaign

Your fans care about you. They want you to win. Give them a reason to root for you. Don’t just say you’ve got new music and you think it’s cool. Give them some behind-the-scenes information. Tell them about the recording, about the artists you’ve worked with on this release, tell them about the lyrics.

In vyb you can sell your original music directly to your fans. You have complete control over the pricing, timing, and even who can buy the tracks.

Top features include:

  • Upload as few or as many tracks into an album
  • Set your pricing, number of sales, and even who can buy them
  • Add collaborators to your track and vyb will pay them automatically
  • Set up separate pre-order prices and timing
  • Sell digital downloads or physical items like vinyl, CDs, and cassettes

Note:

For physical items like vinyl and CDs, you are responsible for all fulfillment, including purchasing, holding inventory, and shipping to the customer. vyb does NOT fulfill physical music items.

For the music tracks, we accept multiple formats: WAV, FLAC, or MP3. We will automatically flag you if the files are not all at the same bit depth or sample frequency. We have a minimum mp3 format of 320 kbps, we will flag if your files are not high enough quality.

Below are the steps to setup and sell music downloads:

Step 1. Launch Create Album

From the main launch homesceen you can either click Launch and select “Create Album”

or else under your Dashboard you can select “My Created Music” on the left and then the “Create Album” button.

Step 2. Add Album Details

In the album details, give your album a name and description and upload the cover and banner images.

Step 3. Set Release Date and Pre-Order (optional)

Edit the release date and time, note that all versions of your album, digital downloads or physical, will share the same release and pre-order dates.

If you set a pre-order date in the future, we will automatically put up a landing page that customers can use to register for notifications for when your album is available for sale.

Step 4. Set pricing for digital download

Set your pricing for the digital download.

You can limit the number of sales if you want this to be a very unique item, usually you will make this unlimited.

As always, you can adjust the discount for your subscribers.

If on the previous screen you set a pre-order date, then you will also set the pricing for your pre-order

You can make a track free for your followers or subscribers as well as exclusive to followers or subscribers

A few different marketing ideas for your pre-order:

  • Set the price to be lower to drive some initial sales
  • You can set the price higher if you have fans who really want to be the first to hear the music
  • Include as many tracks in the pre-order as you want.

Step 5. Add Physical Formats (Optional)

Click the “+ Physical Format” to add a physical version of your album. You can set that to be Vinyl, CD or Cassette

Give your physical version a unique name and description so that your fans understand their different options.

Set pricing on the release and the pre-order just as you did on the Digital Download.

Note that anyone who purchases a physical format will automatically receive the digital download as well.

NOTE: You are responsible for all fulfillment of physical items.

Step 6. Set Images for Physical Format

For the physical formats, you can add extra images. These images show your fans exactly what they will get. The first image is the featured image for the product.

Step 7. Make Bundles (Optional)

Optionally, you can add a bundle of music and merch by the following steps:

  • Select +Bundle
  • Name the bundle and give it a description
  • By default, every bundle includes the digital download, include one or more music items
  • Also add mech to the bundle by clicking +Merch

Now set the bundle pricing and availability. You’ll see your total discount to your fans.

Step 8. Upload Tracks

The easiest way to upload all your tracks is to use the bulk upload button. You can bulk upload all tracks at once, in multiple formats. Or you can upload a group of tracks at a time.

For each track, you can give a track name and then select if the track is to be included in the pre-order or not.

You can add collaborators to your project, if you give them a percentage of the music track, then we will automatically track their earnings and pay them when they create a vyb account.

No more tracking splits with different spreadsheets, put the info once into vyb adn you are done.

Keep going until you’ve added all your tracks.

For each format on each track, you will get a color-coded button that tells you the format type and whether it is good. Green with a check indicates this is a good track. Orange with an ‘!’ indicates that this might be the wrong format. Hovering over the track button will tell you the track information. Red with a ‘!’ indicates that it is a bad track.

You can simply click on the track button to replace the file.

Under each button is a little play icon. Clicking that will let you hear the uploaded track.

Step 9. Upload Extras

You can upload extra files that will be available to your fans with your release.

These can be images, videos, text lyric files, etc.

These files can either be ‘Public’, which makes them browsable by those shopping your music, or ‘Purchase’, which makes them only available to those who purchase your music. Your choice!

Step 10. Publish Your Album

Now you are ready to publish your album.

You will notice that two prices are listed for the release and Pre-order. The second price listed in (blue) is the price your subscribers will pay.

Check all the details and if they are correct, push Publish.

On the pre-order date, fans will be able buy the pre-order and listen to any tracks you included in the pre-order. We will automatically send them an email when the full album is released.

The Pre-order is automatically closed either after the release date or if you set a maximum number of pre-orders, then when you have sold all of those.

And that’s it, you’ve posted your album for sale! Now promote it out to all of you fans and start selling!!
